Syntrace connects to AI assistants such as Claude and ChatGPT through the Model Context Protocol (MCP). Once connected, you can ask your assistant about your meetings, clients and action points, and it answers from the Syntrace data you already have access to.
1. Who can use it
AI assistant connections are available to Users of Syntrace customers whose organisation has asked Syntrace to enable them. If your organisation has not enabled them, the Connections page in Syntrace shows no AI assistants and Syntrace refuses the connection. Contact your Syntrace administrator or support@syntrace.com.
You need a Syntrace account. Connecting an assistant does not create one.
2. What your assistant can read
The connection is read-only. Your assistant sees only what you can see in Syntrace, as you. It can read:
- your name, email address and organisation;
- your meetings and the meetings shared with you: title, time, client, participants’ names and email addresses, summaries, key points, action points, transcripts and notes;
- your organisation’s clients and their contacts’ names, email addresses and departments;
- your upcoming calendar events and their participants; and
- your pre-meeting briefs.
Your assistant shows the current list of Syntrace tools when you connect.
Reading a meeting or its transcript is recorded as a view, exactly as when you open the meeting in Syntrace, so it shows in the meeting’s access history.
Your assistant cannot change, delete or share anything in Syntrace, start or stop recordings, generate new reports, or see meetings you don’t have access to.
3. Connect an assistant
- Open Connections in Syntrace and select Connect on Claude or ChatGPT. Follow the steps shown, then sign in to Syntrace and approve the connection.
- On a Claude Team or Enterprise plan, your Claude Owner adds Syntrace first. On a ChatGPT Business or Enterprise plan, your workspace admin does.
- Server address: https://mcp.syntrace.com/mcp
4. Example questions
- “What did we agree with Northwind in our last three meetings?”
- “Prepare me for my meetings tomorrow: who is attending and what did we discuss last time?”
- “List the action points assigned to me from meetings this month.”
- “What did Anna say about the budget in Tuesday’s meeting? Quote her.”
5. Disconnect
Open Connections in Syntrace and select Disconnect on the assistant, or Disconnect all. Its access ends within an hour, and your approval and its tokens are deleted. A connection that goes unused for 30 days also ends, and you connect again the next time.
6. Privacy and data
- Data your assistant reads is sent to the assistant’s provider (for example Anthropic or OpenAI) and processed under that provider’s terms and privacy policy, or your organisation’s agreement with it — not on Syntrace’s behalf. The provider may process it outside the EU/EEA. Read your provider’s terms before connecting.
- Syntrace sees the requests your assistant makes to it (for example a search query), not your conversation with the assistant.
- Syntrace is not designed for special categories of personal data, such as health data (see section 3.2 of the Terms of Service).
- How we handle your personal data: Privacy Policy. How we process your organisation’s meeting data: Data Processing Agreement.
- Answers are generated by your assistant from Syntrace data and may contain errors. Check important details against the meeting in Syntrace.
7. Troubleshooting
- “Syntrace isn’t enabled for your organisation yet” — your organisation has not enabled AI assistant connections. Contact your Syntrace administrator or support@syntrace.com.
- “You don’t have a Syntrace account” — you may have signed in with a different account than the one you use for Syntrace. Connect again and sign in with that account. If you have no Syntrace account, contact support@syntrace.com.
- Your assistant says it can’t reach Syntrace, or asks you to reconnect — disconnect Syntrace in the assistant, connect again and approve. If you disconnected it in Syntrace, connect it again from the Connections page.
- A meeting is missing — the assistant only sees recorded meetings that are yours or shared with you; upcoming meetings come from your calendar.
